General Features

Network:

All ACS ACCESS products are designed for PCs in multi-user environments on a local area network. ACS ACCESS is independent of the network software, if any. ACS software requires Windows 95 or later.

Multiple Franchise Support:

A single ACS ACCESS system can support multiple franchises. These franchises can be accounted for in separate general ledgers or they can all be combined into one. Switching between companies is simple and convenient.

Security:

There are four layers of security in an ACS ACCESS system. First, access may be limited by company, in multi-franchise environments. Second, workstation location may be used to restrict entry to sensitive data. Third, users are only allowed entry into the modules necessary for their job. Fourth, within each module, a user's security level determines which functions may be accessed.

Manual:

The system manuals will soon be available electronically, so they can be read, searched and printed as desired.

Mail:

Without leaving ACS ACCESS, users may send or receive mail to or from other users. Mail may be saved, printed, answered, and even forwarded.

Ease of Use:

ACS ACCESS is very easy to learn, so training new employees is not a difficult, time consuming task. All of the programs are menu driven, so there is no need to memorize program names or sequences. Furthermore, each screen has help information indicating what is expected and/or allowed, so again, there is no need to memorize anything. An easy system to master and use frees employees to focus on the bigger picture, as well as giving employees the confidence to excel in their jobs.

History:

ACS retains complete history online, including all accounting records, deal information, invoices, service history (ROs), parts orders/returns, POs, check registers and more. Online history means not having to print and file extra copies of documents as well as lengthy monthly accounting records. While saving money on forms and filing, dealership employees will be able to work more efficiently with all history at their finger tips.

Plain Paper Documents:

ACS uses plain paper to print ROs, invoices, statements and purchase orders with custom logos. There are no per-copy charges or expensive font cartridges to purchase for these or any other documents. Custom forms are only required to print F&I forms and checks. Plain paper printing has saved some customers over a thousand dollars a month in form costs.

Reports:

Reports may be viewed and/or printed and often uploaded to a spreadsheet. When a report is viewed, the user may select which, if any, portion is to be printed or may print the entire report. Also, a search feature is available for any viewed report (or document). That is, the user can search (forward or backward) for the occurrence of any alphanumeric text string. There is no need to print a long document and search for an entry - display the document and let the computer locate the entry. Report information may also be selected and copied for pasting into Windows documents.

Departmental Financial Reports:

Selectively, with appropriate security, department heads can retrieve their own daily operating reports and even view their general ledger accounts in detail. This means that busy managers will not have to wait on accounting to print and distribute important reports. In fact, this information is live, up to the minute data, eliminating the need to guess how the day is going.

VIN Verification & Decoding:

All 17 character VINs are automatically verified and are decoded by year, make and model when entered. All VINs in the system are guaranteed to be valid. Service will not be able to add vehicles a second, or third time with an invalid VIN.

ZIP Code Look Up:

When entering addresses, the zip code is requested first. Once the zip code is entered, the appropriate city, state and county are automatically inserted. This feature not only saves time, it insures accuracy in both content and spelling.

Electronic Data Transfers:

ACS will never send tapes, CDs or other media for customer use in updating software, part masters, labor time guides, and so forth. All data is electronically uploaded via modem and/or the Internet to all customers by our customer support staff. This means no more evenings or Saturday or Sunday system updates. ACS is the computer company, our customers are dealerships, so we take care of the computer system.
